Bulk Upload Opportunity Requirements

Below are the recommended parameters and requirements for bulk upload.

Tool Tip Description

External opportunity id

Optional field. You can create an opportunity ID for a volunteering opportunity. E.g. If your opportunity is part of an external program. This field can be updated in the External Registration Details section when you edit opportunity details.

Opportunity name

Mandatory field. This is the name of the volunteering opportunity that users will see on their volunteering marketplace and words can be used for free text search. This is limited to 255 characters. This field can be updated in the Opportunity Details section when you edit opportunity details.

Short description

Optional field. This is short description of the volunteering opportunity that users will see on the volunteering marketplace and words can be used for free text search. This is limited to 500 characters. This field can be updated in the Opportunity Details section when you edit opportunity details.

Description

 

Optional field. This is a longer description of the volunteering opportunity that users will when they select an opportunity. This is limited to 3000 characters. This field can be updated in the Opportunity Details section when you edit opportunity details.

Category

Optional field. You can create category names for volunteering opportunities e.g. virtual, onsite. Users will be able to filter opportunities by category names on the volunteering marketplace. You can edit categories in the Manage volunteering opportunities section.

Charity name

Mandatory field. Each volunteering opportunity is linked to a charity or organisation. Users will be able to filter opportunities by charity on the volunteering marketplace. You can select an existing charity or create a new charity. This field is not case sensitive.

Causes

Optional field. You can link a cause to the volunteering opportunity. If the volunteering opportunity relates to a Charity that already has an assigned cause, this cause will be automatically selected. You can select from your company’s preset causes if there is no cause linked to the volunteering opportunity.

Office

Optional field. Enter the offices or offices in which the opportunity will be able to users. This must be one of your company’s configured offices from the drop down list. Use commas to separate for more than one office. Default will be all offices if no office is selected. You can edit Offices in the Availability section when you edit opportunity details.

Contact name

Mandatory field. Enter the name of the contact (within your organisation or from the charity) in charge of managing the opportunity. This is limited to 150 characters. You can edit this field in the Contact Details section when you edit opportunity details.

Contact Email

Optional field. Enter the email address of the contact (within your organisation or from the charity) in charge of managing the opportunity. This is limited to 150 characters. You can edit this field in the Contact Details section when you edit opportunity details.

Contact phone

Optional field. Enter the phone number of the contact (within your organisation or from the charity) in charge of managing the opportunity. This is limited to 20 characters. You can edit this field in the Contact Details section when you edit opportunity details.

Frequency of sessions

Mandatory field. The frequency is which the session occur for this opportunity. The accepted values are: one-off, weekly, fortnightly, monthly

Number of sessions

Mandatory field. Enter the number of sessions available to uses for an opportunity. Dates will be automatically generated depending on the frequency specified. If frequency of session is ONE-OFF, the number of sessions should be 1. You can edit this field in the Dates & Times section when you edit opportunity details.

Session name

Optional field. You can create a name for each session (e.g. January Workshop). Default will be a number associated with each session. You can edit this field in the Dates & Times section when you edit opportunity details.

Date

Mandatory field. Enter the date in DD/MM/YYYY format (e.g. 25 August 2020 entered as 25/08/2020). This field indicates the date for the first volunteering session. You can edit this field in the Dates & Times section when you edit opportunity details.

Start time

 

Mandatory field. Enter time in 24Hr time format HH:MM (e.g. 17:00, 00:00 for midnight). This field indicates the start time for the first volunteering session. You can edit this field in the Dates & Times section when you edit opportunity details.

End time

 

Mandatory field. Enter time in 24Hr time format HH:MM (e.g. 17:00, 00:00 for midnight). This field indicates the end time for the first volunteering session. You can edit this field in the Dates & Times section when you edit opportunity details.

Minimum number of volunteers per session

Optional field. Enter the minimum number of volunteers that are needed for each session. Defaults at 1 if left empty. You can edit this field in the Dates & Times section when you edit opportunity details.

Maximum number of volunteers per session

Mandatory field. Enter the maximum number of volunteers that can participate in each session. You can edit this field in the Dates & Times section when you edit opportunity details.

Timezone

Optional field: The timezone in which the opportunity takes place. The list of available timezones can be found in the dropdown. And the text value to type can be found by hovering over it.

Registration deadline date

Mandatory field: A date in DD/MM/YYYY format indicating the date that all opportunity registrations will close all on. This supersedes the event opportunity registration deadline

Registration deadline time

 

Mandatory field. Enter time in 24Hr time format HH:MM (e.g. 17:00, 00:00 for midnight). This field indicates the time on the Registration deadline date after which registrations for the opportunity are closed. You can edit this field in the Scheduling Details section when you edit opportunity details.

Event address

Optional field. You can enter the address in which the volunteering opportunity will take place. This is limited to 255 characters. You can edit this field in the Opportunity Location section when you edit opportunity details.

City

Optional field. You can enter the city in which the volunteering opportunity will take place. This is limited to 50 characters. Users will be able to filter opportunities by Location based on City on the volunteering marketplace. You can edit this field in the Opportunity Location section when you edit opportunity details.

State

Optional field. You can enter the state in which the volunteering opportunity will take place. This is limited to 50 characters. You can edit this field in the Opportunity Location section when you edit opportunity details.

Country

 

Optional field. You can enter the country in which the volunteering opportunity will take place from the drop down list. You can edit this field in the Opportunity Location section when you edit opportunity details.

Thank you message

Optional field. You can enter a special thank you message that users will receive when they register for an opportunity. You can edit this field in the Additional Details sections when you edit opportunity details.

External registration url

Optional field. If the third party signup is required, your employee will be redirected to this website URL to complete their registration.

Police check required

Optional field. You can set a requirement that volunteers must have (or need to obtain) a Police check for an opportunity. Input true if this is required and false is not required. Defaults to false if field is left empty. You can edit this requirement and set reminder emails in the External Requirements section when you edit opportunity details.

Working with children check required

Optional field. You can set a requirement that volunteers must have (or need to obtain) a Working with Children check for an opportunity. Input true if this is required and false is not required. Defaults to false if field is left empty. You can edit this requirement and set reminder emails in the External Requirements section when you edit opportunity details.

Additional requirements

Optional field. You can enter requirements that users need to be aware of or comply with in other to take part in the opportunity. Please use a semicolon ( ; ) to separate requirements. You can edit this requirements and set reminder emails in the Additional Requirements section when you edit opportunity details.

Set RegColleague

Optional field. This will enable the option for users to register their colleagues or friends/family for an opportunity.

RegColleague EmployeesOnly

Optional field. This will enable the option for users to register their colleagues for an opportunity.

Reminder Email Days

Optional field. You can set the number of days before a session when a reminder email will be sent to the employee.

AutoWaitlist

Optional field. This will enable the auto-waitlisting functionality which will automatically move people from the waitlist when a registered user cancels their registration.

RewardsHeading

Optional field. Heading above the Call to Action which describes your rewards initiative.

RewardsDetail

Optional field. Detailed text within a Call to Action which describes your rewards initiative.

RewardsPoints

Optional field. Number of points earned by attending each session.
