When you first click on the Volunteering icon you will see the Volunteering Registration Dashboard. It will be empty if you have not created any opportunities. Go to Registration Dashboard, for more information on how to use it.

How to Use Volunteering Events

Our event feature is set to be flexible to your needs. Essentially, it is an internal tool to organise and manage your event activities under “one roof”.

You can choose to create events to run company-wide volunteering days, seasonal programs, micro-events for each office location or if you have specific charity partnership that may have a group of activities you want to organise under one event.

How to Add a Volunteering Event 

Note

Before you upload You must complete this step before creating volunteering activities (we call them opportunities) you must create a volunteering event, and in particular if you are uploading opportunities via the before you choose to Bulk Upload optionopportunities.

Volunteering > Manage Volunteering > Actions > Add Event

A pop up window will appear, once you have clicked on Add Event.

Enter Name and Description as the will help you identify and manage your volunteering opportunities betterevents.

Select the Time zone that the event will be taking place in. You can select a different timezone on an opportunity level too. 

Select a Start Date/Time for the event. This is the starting time that registrations open. 

To set a preview period for opportunities under this event, untick the box

Make opportunity visibility start time the same as the event start time then select a different date to the Start Date above. This is a default setting.

This will allow your employees to preview opportunities in the marketplace without being allowed to registerevent to be open to registrations on the day it launches in the Volunteering marketplace.

To set a View-Only period (preview) for opportunities under this event, untick the box and set a date before the event start date.

Select an End Date/Time the event finishes. If you would like a review period after the event has finished. Untick the box

Make opportunity visibility end time the same as the event end time? and add a different date to the End Date. Enter a is a default setting.

To have opportunities visible in the marketplace after the Event date, untick the box and select a date you would like.

Enter an Event Registration Deadline (optional)

This deadline applies to all opportunities (activities) under this event. If you would like to tailor the registration deadline to a specific opportunity you can set up a deadline in the Edit Preview mode limit will be applied to all the opportunities as a default registration deadline but you can still edit it in the opportunity

Tip

Tip: We recommend you use this registration deadline if you have a large volume of activities and cannot manage deadlines for individual opportunities.

Additional Information

Is a way for this an optional feature that allows you to seek and request information from the user during the user registration flow. Examples of how you can use these fields are event-specific activity, disclaimers, merchandise or food, surveys

Tips

  • Set up a disclaimer or consent request to attend the event

  • For company-wide events, a company t-shirt may be distributed. You can request a t-shirt size

  • Create a single-question survey.

When you have completed the Event set up, Click Save.

Create an Opportunity with a charity template or without a template.

A charity template is an opportunity page with pre-loaded content and requirements. It can be a helpful resource to quickly load up an opportunity for your program. This option is provided by the charity only. If there is no options available, go to without a template option.

Without a template is a blank opportunity page is our standard layout that you will need to fill out and save to create an activity for your employees.

Note

We highly recommend that you contact the charity if you need the volunteering requirements to launch the activity.

Manually creating a Volunteering opportunity (individual)

After you have set up an event, find your event, either by using the Search field at the top or scrolling through the list,

Then click the Opportunities button at the end of the line.

You will be redirected to the list of opportunities under the Event, click the Actions button and select one of the two options to create an opportunity.

Select a Charity by clicking the field below and scrolling through the options in the drop down menu. If you don’t see the charity you are supporting remember to email us.

Enter the name in Opportunity Details, this will be visible in the marketplace on the tiles and opportunity page. We recommend you use keywords that can be used to search by your employees. Remember you can always edit it later. 

Enter the Contact Name of the person will be the main point of contact for your employees. You will be able to add the email address and the phone number of that person after you have saved the details 

Enter the Date and Time of your first session.

  • Select one-off frequency for a single session opportunity.

  • Session Name (optional)

  • Enter Min /Max number of volunteers

  • Enter Timezone

  • Select Session Date

  • Select Start/End Time

Then click Next.

(tick) Tip: Keep this step simple by creating your first session as one-off. You can always update sessions in the next step in Edit Preview Mode.

How do I create a multi-session opportunity? 

If you have a set schedule for your multi-session opportunity eg every two weeks

Select the fortnightly option in frequency and the number of days that the event will be on.

Opportunity in Edit Preview Mode

You have the ability to refine, review and edit or add more details to the opportunity page here.

The left side of the screen displays the fields for you to edit, update and finalise your opportunity page. The right side of the screen previews your edits to help you review what the employees see on the live opportunity page.

To help you navigate the Edit Preview Mode, start by

Step 1. Editing the name and the description

The opportunity name and short description information will be displayed in both

  • the marketplace tile

  • and opportunity page.

Tip

Tip: Follow the character limits where applied and keep the information short and clear to attract the attention of the User searching in the marketplace.

The Description field gives you more space to go into detail of the opportunity, we’ve provided you with the ability to format your description to best deliver the information to your employees.

However, remember we’ve provided you with a section called Additional Requirements below that gives you the ability to highlight key requirements for the opportunity.

Step 2. Availability

If you leave this field blank then it will default to ALL, this means this opportunity is visible to all Office locations in your company.

For example, if you only select Sydney and Melbourne this opportunity will only be visible to the Sydney and Melbourne offices. Any employees set to these two location can only see this opportunity in the marketplace.

You can update and add to this section at any time while you are running the opportunity.

Step 3. External Registration Details

External Opportunity ID field is there to help you to identify and manage your opportunities easily on the platform.

Tip

Tip: We recommend you use this field if you are intending to update your opportunities with bulk upload opportunities. This will be the unique identifier for updating existing opportunities.

External registration URL is provided if there are additional registration requirements for the user to complete off platform. When you add a URL link in this field, at the end of the user registration flow your employees will be automatically redirected to this URL.

Tip

Tip: This field is a create way to redirect your employee to the charity’s website to complete details required by the charity eg blood drive or if you have a survey you can include this here.

Step 4. Scheduling details

Timezone: It is important to set a timezone as your opportunity session dates and times will be displayed in the timezone you set. The default timezone is displayed here unless you select edit it.

The default timezone is the one you set in the Volunteering Event.

Registration deadline (optional) If your opportunity has a specific registration deadline you can update the field here otherwise the event registration deadline will be set as default.

Tip

Tip: If you are running an annual event and your opportunity program is running through the year. It may be more useful to use the opportunity registration deadline than the event one.

Step 5. Dates and Times

Your first session you created will be visible here, to add more sessions, click the add button.

A pop up window will appear Add Volunteering Dates. The default frequency is One-off.

If your opportunity repeats every week, fortnightly or monthly you can change the frequency. The details you enter will be auto generated to the number of occurrences you set here and will repeat the volunteer numbers, Start/End Time.

Step 6. Opportunity Location

Is where your opportunity will take place. These details will display in the opportunity details page.

Important that you enter details in the City field. The employee will use this to search for opportunities and is visible in the marketplace tile. For example, if the opportunity is located in Sydney, the employee can search by Sydney. If the opportunity is Virtual, enter Virtual in the City field and employees can search via the category Virtual.

Step 7. Additional Details

If you would like to tailor your message to display on the Registration Confirmation page during the registration flow.

For example, you are running a dedicated volunteering day and have a specific message you can use this field here and it will be displayed to your employees.

Step 8. Contact Details

Your opportunity may be run by a dedicated program administrator. You can add up to five (5) contact details here. A minimum requirement is one (1). Click Add Contact to add and click save after the details have been added. Click on the field

Step 9. External Requirements

Your opportunity may require Working With Children (WWC) or Police checks.

Tick the relevant box and it will be added to your Requirements & Commitments in your Opportunity page. A (info) icon will appear next to the bullet point. An employee can click on it and a pop up window will appear with the relevant states and territories information. A link is provided for each state or territory.

Step 10. Additional Requirements

To highlight and focus your key requirements on the opportunity page, we recommend this field. It will be displayed clearly under your police or WWC check. For example, if you have training requirements or documents that is required you can add this here.

Step 11. Email Reminders

If you have set up an Auto-reminder for upcoming opportunities you can configure how many days you would like to set up this auto-reminder.

This specific email template is Volunteer Auto-reminder (Volunteering and Pro Bono).

If you have set up a team leader for this opportunity, you can also send an auto-reminder to team leaders after an opportunity to provide further feedback to participants.

If you have a specific message you would like to add to your email notifications use the Email Message field.

Note

Remember to enable your email template otherwise it will not be sent even though you have entered the number here. Also it is good to check that the standard template is suitable for your needs. An email template is a standardised email shared amongst all your opportunities. To included opportunity specific details use the {{injectable variable inserts}} provided.
